The pattern
This thesis asks whether an operating business could benefit from a better defined support process: scheduling, billing, procurement, reporting or recruitment. The mechanism must be concrete enough to test with the people doing the work. A general intention to professionalise a business says little about what would change, what resources are needed or whether the existing approach already serves customers effectively.
Public origination research has a narrow role here. It can identify the service model, locations and administrative functions a business describes, but it rarely establishes an internal process failure. A dated website or small leadership page is not evidence of weak controls. Keep the improvement hypothesis separate from the company profile, and require direct process evidence before proposing centralisation, staffing changes or a systems migration.
Where to investigate it
These playbooks provide operating contexts in which to test the mechanism. Sector membership alone does not establish a match.
- Commercial cleaning
- Engineering consulting
- Accounting and tax practices
- HVAC services
- Third-party logistics
Hypotheses to test
- A named process creates a documented problem that shared support could address. Define the desired operating result, such as reliable invoicing, without assuming that centralisation is the solution.
- The process has enough common structure across targets to share effectively. Local exceptions, customer terms and professional responsibilities need to remain visible in the proposed design.
- Implementation effort and disruption are proportionate to the problem. Existing staff knowledge, data quality and customer interactions should be understood before selecting a system or changing responsibility.
Public evidence that supports further investigation
- Company materials show multiple locations or service lines with identifiable scheduling and support needs. This supports a question about coordination rather than a finding that current arrangements are inadequate.
- Public job descriptions explicitly seek responsibility for a defined administrative process. A recruitment need can identify a function to discuss but does not prove a control weakness or unfilled role.
- Published service workflows describe quoting, billing or customer support steps. These offer a starting point for process mapping while leaving actual execution and system performance unverified.
Evidence that could kill the hypothesis
- The proposed shared process is irrelevant to the target's delivery model. A company without field dispatch needs should not remain on a list whose thesis depends on dispatch coordination.
- Direct diligence establishes that the claimed problem does not exist or is already addressed effectively. The team should retire the improvement claim instead of redefining success after the fact.
- Required local or professional responsibilities make the proposed centralisation infeasible, or customer obligations cannot be preserved. Another support arrangement would need separate testing.
Common failure modes to examine
- A central team removes local knowledge before understanding how exceptions are handled. Process consistency can then conceal slower resolution of customer or supplier problems.
- Data migration consumes management attention and disrupts billing or service delivery. A software implementation is a separate operating project with dependencies beyond the acquisition closing date.
- Key administrative staff leave and undocumented workflows disappear. Customer concentration or bespoke billing terms can make apparently routine processes difficult to standardise safely.
Typed screening questions
| Question | Answer type | Why it matters |
|---|---|---|
| Which operating model does the company describe? | Category / Unknown | A project business, recurring service and distributor require different administrative workflows. |
| How many operating locations are publicly verified? | Number / Unknown | Count only evidenced sites; location count frames coordination questions without proving complexity. |
| Which support functions are publicly described? | List / Unknown | Record what exists rather than infer missing capabilities from limited disclosure. |
| Are dedicated administrative roles explicitly advertised? | Yes / No / Unknown | A dated vacancy is a lead about a function, not proof of current staffing. |
| Are customer-specific service or billing arrangements described? | Yes / No / Unknown | Identify possible exceptions that a shared process would need to preserve. |
| Is a current parent or shared-service arrangement disclosed? | Yes / No / Unknown | Existing group support can change both independence screening and the proposed mechanism. |
What changes in origination
Select businesses for their operating fit, then label the administrative proposal as unverified. Do not use visual website quality, disclosure volume or founder involvement as a proxy for operational weakness. Agents should collect statements about workflow and responsibilities while keeping evaluative conclusions outside accepted factual fields.
In discussion, ask where the team experiences friction and what evidence would define a successful change. The relevant diligence material may be a process walkthrough and exception log rather than another company database. A workable thesis should allow the conclusion that no centralisation is needed.
Apply it to a target list
Turn the hypothesis into client-specific screening questions, with accepted answers and an evidence requirement for each. Triage resolves identity before research is paid for, removes duplicates and wrong-site records, and asks disqualifying questions first. Scout collects typed values from a fixed list, each quoting a retained page verbatim. Audit re-reads with every fetch tool denied, settles contradictions, strikes unquotable findings and leaves gaps visibly open. Review the evidence standards before interpreting a shortlist.
Bring a list or ask Docket to build one. Use the self-serve platform or a managed engagementwith a dedicated analyst and weekly criteria review. Each client's docket is a separate database; the client owns its data and can export CSV or Excel at any time. Outreach is optional: approve the messaging and each target before email, LinkedIn or phone contact. The first ten targets are researched free.
